Covid-19 Action Plan

Updated: Mar 30, 2020

Just Paper Tubes LTD is going to operate a 4 stage action plan:

1. No Disruption

2. Minimum Disruption

3. Moderate Disruption

4. Significant Disruption

5. Closed

Our current level will be updated on the covid-19 blog which can be found at https://www.jptcores.com/post/covid19. This will be updated daily.

An explanation of our Action Plan based on what level we are at is detailed below. We do not anticipate any cashflow issues irrespective of the level of disruption.

1. No Disruption

Staff – Where possible, Office Staff are working remotely.

Raw Material – No shortages, We have increased our stockholding.

Customers – No expected disruption to service.

2. Minimum Disruption

Staff:

- A small number of staff area affected by covid19 or self-isolation.

-We will ask voluntarily for staff to do more hours than contracted to cover shortfalls in rotas.

- JPT Covid19 Whatsapp group would be used to communicate day to day operations to all members of staff.

- Office staff members will work remotely full time if under self-isolation.

Raw Materials:

- Essential Raw materials are available, however we cannot source specific packaging items, we will liaise with customers to modify how cardboard tubes are packaged.

Customers:

- No disruption, although packaging of the cardboard tubes may vary. No extension to lead times.

3. Moderate Disruption

Staff:

- We are unable to operate our normal shifts due to covid19 or self-isolation, or we are not able to cover the shortfall with voluntary additional hours.

- Office staff who are multiskilled will be redeployed to operational manufacturing roles, on shift patterns.

- We have to compulsory vary shift patterns so that production lines can be fully staffed. (Terms and Conditions of Employment Section 5), including compulsory extra hours.

Raw Materials:

- Essential Raw Materials are at low stock levels, we will implement an allocation system should demand out stripped capacity/materials. This will be based on the previous 12 months demand.

Customers:

- Moderate Disruption could be expected, lead times will be increased and orders above normal demand may be put on allocation or rejected. Packaging of cardboard tubes may vary, we may ask customers to take a slightly variated product if we have it in stock. We will liaise with customers who are affected.

4. Significant Disruption:

Staff:

- A significant proportion of our workforce are affected by covid19 or self isolation.

-We would be unable to run our operations 24 hours a day effectively.

-We would move all night shift staff onto a day shift so we could fully man a day shift production schedule. It would not be feasible to run 3 shifts based on a significant reduction in workforce capacity. For a temporary basis, night shift workers relocated to a day shift would not be financially disadvantaged due to the unsocial hours allowance.

-We would look to run on a 7-day working basis, with a flexible shift pattern to meet demand, but also workforce capacity.

Raw Materials:

- Essential Raw Materials are hand to mouth or we are facing out of stock situations , we will implement a restrictive allocation system should demand out stripped capacity/materials. Customers who order weekly will be prioritised.

Customers:

- Customers would expect to see significant disruption, extended lead times & a strict allocation policy.

- Customers can expect to receive clear communication from JPT regards what is achievable at the point of placing an order.

5. Closed

Staff:

- For a short closure (1-14 days) we would utilise "Company Holidays" and enforce company wide holidays. During this period staff would receive full pay, however the days would come out of their holiday allowance.

-For a closure of a significant period (14 days +), we would look access the Coronavirus Job Retention Scheme and look to make all employees "Furloughed Workers" & 80% of your wage up to a £2,500 per month.

Customers:

- We would no longer be able to supply you with cardboard tubes.

-We promise to keep you informed regards to our closure on a daily basis.

-We will still answer emails or phone calls as we normally would - in minutes not days.
